Reduce Workspace licenses
License reductions depend on the Google Workspace plan and commitment attached to your subscription. Unlike adding seats, reductions may not always be available immediately.
Before you request a reduction
Check these items first:
- The number of active users in Google Admin.
- Whether any users are suspended or archived.
- Your current Workspace plan.
- Your renewal date.
- Whether your subscription is Flexible, Annual, or under a special commercial arrangement.
After checking Google Admin and confirming the target paid seat count, open a support ticket from the Mercurie dashboard if the reduction is available for your plan or you need Mercurie to confirm the next effective date.
What happens to users
Reducing paid licenses does not automatically delete users, emails, Drive
files, or Calendar data. Your Google Workspace super-admin still controls user
accounts in admin.google.com.
Before reducing seats, make sure the number of users who need paid access will fit within the new license count. If there are more users than licenses, some users may lose access to paid Workspace services until licenses are reassigned or more seats are added.
Suspended and archived users
Suspending, archiving, or deleting users in Google Admin does not always reduce the billable seat commitment. Billing depends on the Workspace plan, commitment type, renewal window, and Google's seat-count rules. Check Google Admin and contact support before assuming a suspended or archived user has stopped being billable.
Google count vs Mercurie count
Sometimes Google Admin and the Mercurie dashboard may show different counts for a short period after a seat change, transfer, or sync. Refresh the dashboard after a few minutes. If the difference remains, contact support with your domain and the counts shown in both places.
Downgrades
Changing from one Workspace plan to another is different from reducing seat count. If you are transferring an existing Workspace subscription and already know you want a lower plan, ask support whether it is cleaner to downgrade before or after transfer. The best timing depends on the current plan and billing commitment.
